HubSpot automation and integration

HubSpot is usually the system everything else needs to reach. I connect it to the tools your business actually runs on — so deals, contacts and activity update themselves instead of waiting for someone to type them in.

COMMON REQUESTS

What people ask me to build

These come up repeatedly. If yours isn’t listed, it’s usually still possible — describe it and I’ll tell you honestly.

FIELD SERVICE

Jobs into deals

A job completes in ServiceM8 and the matching HubSpot deal updates automatically — stage, value, photos and form answers attached to the right contact.

FINANCE

Deals into invoices

A deal moves to Closed Won and QuickBooks or Xero raises the invoice with the correct line items, without anyone rekeying the numbers.

LEAD ROUTING

The right owner, automatically

Leads assigned by postcode, territory or service type the moment they arrive — including proximity logic when the boundaries aren’t tidy.

DATA QUALITY

Duplicates caught before they land

Fuzzy matching on name, email and address so the same customer doesn’t end up in your CRM three times under slightly different spellings.

DOCUMENTS

Files attached where they belong

Signed forms, site photos and PDFs uploaded straight onto the deal or contact record, so nobody goes hunting through email for them.

REPORTING

Numbers out of HubSpot

Pipeline and activity data pushed into Google Sheets or a dashboard on a schedule, shaped the way your team actually reads it.

WHERE IT GETS DIFFICULT

The part that isn’t in the documentation

For an Australian solar installer, HubSpot sits in the middle of ServiceM8, Fishbowl and QuickBooks. The hard parts weren’t the HubSpot connections themselves — they were parsing 58-question job forms into usable fields, getting site photos from ServiceM8 onto the HubSpot record when neither platform offered a clean route, and configuring contact-to-deal associations so notes appeared on both objects rather than vanishing onto one.

That’s usually the pattern with HubSpot. The connection is straightforward; the data in the middle is not.

QUESTIONS

HubSpot specifics

Do I need a paid HubSpot plan for this?

For most integrations, no. The API is available on free and Starter tiers. Workflows and some object types need Professional, and I’ll tell you before we start if your plan is the constraint rather than the build.

Can you fix an integration someone else set up?

Often faster than building new. Most broken HubSpot integrations come down to a renamed property, a missing association, or a sync that only ever ran in one direction.

Will this create duplicate contacts?

Not if it’s built properly. Every inbound path should check for an existing record first, and match on more than email alone — people change addresses and type their names differently.

What should HubSpot be doing that it isn’t?

Describe it in a paragraph. I’ll tell you what it would take — or tell you honestly it isn’t worth it.
